Order entry · J-03

Orders from email and PDF, entered in your ERP without retyping.

We build a system that reads every purchase order that lands in your inbox, matches each line to your catalog and the customer’s account, checks prices and quantities, and drafts the sales order in your ERP. Your team approves it. Measured before and after.

What changes

What it takes off your order desk.

Today

  • Every purchase order read and retyped into the ERP, line by line
  • Customer part numbers looked up against your own SKUs
  • Price and quantity mistakes found after the order ships
  • Orders waiting in an inbox until someone has time

With the system

  • Read the moment it arrives, from the email, a PDF or a spreadsheet
  • Each line matched to your SKU, with the customer’s own code kept
  • Prices, quantities and ship-to checked against the account before entry
  • Anything that doesn’t match goes to a person, flagged, never guessed
How it handles an order

Five steps, and a person at the end.

  1. 01

    Reads

Purchase orders in email bodies, PDFs, scans and spreadsheets.

  2. 02

    Matches

Each line to your SKU, the customer to their account, the ship-to to an address on file.

  3. 03

    Checks

Prices against the price list, quantities against stock and pack sizes, totals against the order.

  4. 04

    Drafts

The sales order in your ERP, ready to release.

  5. 05

    Hands over

A person approves it. Mismatches arrive flagged with the reason.

What we measure

Measured on your orders, before and after.

We take these numbers on your own orders before we build, and again once the system runs alongside your team.

Time to enter an order

Lines entered without a correction

Your ERP stays. We build inside it: NetSuite, SAP Business One, Microsoft Dynamics, Acumatica, Odoo, QuickBooks, or the ERP you already run.

The closest job we’ve shipped

For a customs broker, a system that read a 62-page shipment (invoices, packing lists and a bill of lading) and drafted all 203 lines of the import declaration. Every line matched the declaration the broker had filed on quantity, weight and price, and it flagged 12 issues in that filing. Built in 2 days. See the work

Questions

What order desks ask first.

Our customers all send orders differently. Does that matter?

No. It reads each order the way a person would, so a new layout doesn’t need a new template. Anything truly unclear goes to a person, flagged.

Will it enter orders on its own?

Not unless you want it to. It starts by drafting orders for your team to release. Once the numbers show a customer’s orders come through clean, you can let those go straight in.

How long does it take?

It depends on the job, and the quote says it. Our last two client systems took days to build, not months.

What happens to our data?

The system reads only what the job needs. We use AI providers’ business APIs, which don’t train on your data.
